Invitation Modes: Choose the Right Way to Invite
Clarityflow gives you several ways to bring clients and teammates into your account. They all use the same onboarding flow — password, profile, welcome message, then a destination you choose — what changes is how you get people in.
Use this page to pick the right option. The guides below have full setup instructions.
Each invitation mode has its own dedicated guide with step-by-step instructions — use the links below to jump to the one that fits your situation.
Quick chooser
I know who I am inviting (one person) → Single invitation
I have a list of emails (cohort, waitlist, up to 30 at a time) → Invitation batch
I want one link anyone can use (website, newsletter, course page) → Multi-use invitation link
I want the same email and onboarding every time (set once, reuse) → Invitation templates
I want people to reach out to me (no invite email — they submit first) → Intake page
Note: Templates are not a separate invite method — they set defaults for single invites and batches.
Compare the options
Single invite | Invitation batch | Multi-use link | Invitation templates | Intake page | |

Best for | One named person | Many emails at once | Open enrollment / shared link | Consistent invite defaults | Inbound messages from anyone |
You need emails upfront? | Yes (one) | Yes (many) | No | N/A | No |
You send an invite? | Yes | Yes | Optional (link only) | N/A | No — they visit your page |
Full onboarding flow? | Yes | Yes | Yes | Sets defaults for invites | No — they submit a message (optional sign-up prompt) |
Creates a conversation? | After onboarding | After onboarding | After onboarding | N/A | Yes, when they submit |
Common scenarios
Starting a 1:1 with one client Use a single invitation from the conversation (Participants → Add people). They get their own email and link, and you can record a custom welcome just for them.
Kicking off a group program with clients you already have emails for Use an invitation batch — set one destination and onboarding flow for the group, then send all at once or one by one.
Free course or lead magnet — "click here to join" Use a multi-use link: one URL on your site or email. Each person who clicks goes through onboarding and enrolls on their own, without you sending individual invites.
You send the same welcome email and video to every new client Set up an invitation template (for example, Conversation type) as your default, then use single invites or batches. The template fills in the email and onboarding automatically — you can still edit before sending.
Adding a VA or co-coach to your account Use a single invitation and choose Team member instead of Guest. Team members can manage your account; guests are for clients and external people only.
"Apply here" or "Send me a video question" on your website Use an intake page: share the link or embed the form on your site. Each submission starts a new conversation in your account. Submitters do not see each other's messages, and you can prompt them to enter their name and email or allow anonymous posts.
You invited someone and want them to land on a form-style page An intake page can also be the destination after someone completes a single, batch, or multi-use invitation — useful when you want them to submit something specific right after onboarding.
Guest vs team member
Guest — clients, students, external contacts. Unlimited guests; they only access what you invite them to.
Team member — staff, partners, VAs. Count toward your plan; they can create and manage content in your account.
Note: Intake page submitters are not team members — they become contacts and conversation participants when they send a message.
Not sure you picked the right option? That's okay — you can always change how you bring in future clients without affecting people who are already in your account. And if your needs change (say, you start with single invites and later want to open enrollment to anyone), the other modes are always available when you need them.
